What is the Teams PowerPoint Presenter View?

Teams PowerPoint presenter view is a feature in Microsoft Teams that allows you to use PowerPoint to give presentations in Microsoft Teams. It allows you to view your notes without your meeting participants seeing them. You can also hand the presention on to another Teams meeting participant and let them take control of part of the meeting. You will also see how to switch presentations mid-flow, should the answer a participant is looking for happens to be on another PowerPoint presention.

Ensure you're the Presenter in Teams

The first thing you need to check when using the Teams PowerPoint presenter view is that you're the only one who can present. Otherwise it means that someone else can jump on in and start sharing the screen. Basically, some rogue nobody can muscle in on the your presentation.

What a nightmare! So you'll need to ensure that you are the only presenter. This is how:

In the meeting options panel that appears change the who can present drop-down list that currently says: "Everyone", to "Only me".

Now that you're sure you're the only one that can present it's time to use the Teams PowerPoint presenter view to start sharing your screen.

Using the Teams PowerPoint Presenter View

So now it's time to get to grips with Teams PowerPoint presenter view. Click on the share screen button at the top of the screen.

After clicking on the Share Content button you can click on the PowerPoint presentation you want to share in Teams. You'll see a list of the presentations under the PowerPoint Live section. As you can see from the picture below that I'm about to share the I Sir Creem presentation.

You will now see the presentation in the Teams PowerPoint presenter view, and doesn't it look fantastic. Note that it looks similar to the normal presentation view in PowerPoint. Except that you are presenting in Microsoft Teams.

Now, you can present your PowerPoint presentation with the confidence that your Teams participants will not be able to see your notes. You can use the buttons to navigate through the slides at your leisure. Also you can click on the slide of your choice, should you want to go directly to a particular slide.

Did you know that when you start using the Teams PowerPoint presenter viewer your participants can navigate your presentation independantly. However, if you want to prevent your Teams participants from navigating your Teams PowerPoint presentation on their own. Then you will need to click on the "Prevent participants from moving through shared presentation on their own" button.

When you see a line over the Prevent participants from moving through shared presentation on their own icon, you will know that all your Teams participants will be viewing the same slide as you.

Allow Another Meeting Participant to Take Control of the Teams PowerPoint Presenter View

Imagine that you're in the Teams PowerPoint Presenter view and you want to hand over part of the presentation to someone else. You can specify another meeting participant as a presenter.

First, click on meetings options. Then from the "Who can present?" drop down list you can select the name of the Teams meeting participant you want to Take Control of the meeting.

You can see above that Joshua is the person selected to present. Joshua will now have to click on the Take Control button. After that, he will be able to navigate through the PowerPoint presentation for all to see.

However, as the meeting organiser, you can take control back at any time. Just click on the the Take Control button at the top of the page.

Swap to another PowerPoint Presentation

If you want to quickly swap to another PowerPoint presentation, you can click back on the Share Content button and simply select another PowerPoint presention.

As you can see the Teams PowerPoint presenter view is a powerful tool, a tool worth knowing how to use, enabling you to deliver professional PowerPoint presentations in Microsoft Teams. It's probably a good idea to take some time to practice your presentation in the Teams presenter view before you let your Microsoft Teams skills loose on a live audience.
